3. SMS and Mobile Messaging Policy

At Tenadoc, we value your privacy and are committed to protecting your personal information. This section of our Privacy Policy details our practices concerning the collection, use, and protection of your mobile phone number and messaging data related to our SMS (Short Message Service) communications.

A. Your Consent to Receive SMS Messages

By providing your mobile phone number on our login page or through other explicit opt-in methods within our application, and proceeding with the login, account creation, or service initiation process, you provide express consent to receive text messages from Tenadoc for the purposes described below. You understand that consent is not a condition of any purchase or service beyond the receipt of these specific messages.

B. Types of SMS Messages You May Receive

We use SMS to provide you with important information related to your account and services. You may receive the following types of messages:

  • One-Time Verification Codes (OTPs): These are single-use codes sent to verify your identity during login, password resets, or other security-sensitive actions.
  • Transactional Notifications: These include essential updates related to your use of our services, such as:
    • Appointment booking confirmations
    • Appointment reminders
    • Service updates or changes
    • Other important account-related alerts

C. Information We Collect for SMS Service

When you use or subscribe to our SMS service, we collect the following types of information:

  • Mobile Phone Number: The number you provide for receiving messages.
  • Messaging Data: This includes the content of messages sent to you (e.g., OTPs, reminder details), the timestamp of the message, and confirmation of message delivery status.
  • Consent Records: We record the date, time, and method by which you provided consent to receive messages.
  • Device and Technical Information: We may collect standard technical information such as your device's IP address when you interact with our platform to initiate or manage SMS services.

D. How We Use SMS-Related Information

We use the mobile phone number and related messaging data solely for the following purposes:

  • To send you one-time text messages for account verification and security.
  • To send you timely and relevant notifications about your appointments, bookings, or other service-related updates.
  • To facilitate and secure your access to and use of our application/services.
  • For internal record-keeping, audit trails, and compliance with legal obligations.
  • To analyze and improve the efficiency and security of our messaging and verification processes (using aggregated and anonymized data where possible).

E. Data Sharing and Disclosure for SMS Data

We respect your privacy. We do not sell, rent, or share your mobile phone number or SMS opt-in data with any third parties for marketing, advertising, or promotional purposes. Your information is used internally by Tenadoc and by trusted third-party service providers who directly assist us in sending and managing these SMS messages (e.g., our SMS gateway provider). These service providers are contractually obligated to keep your information confidential and use it only for the purpose of providing the services we request. We may disclose your information if required by law (e.g., valid subpoena, court order) or to protect our rights or the safety of others.

F. Message Frequency

  • One-Time Verification Codes: You will receive these messages only when you specifically initiate a login or verification attempt on our platform.
  • Transactional Notifications: Message frequency will vary depending on your activity within our application (e.g., the number of appointments booked, reminders needed, or service updates applicable to your account). We strive to send messages only when necessary and relevant to your account or service usage.

G. How to Opt-Out of SMS Messages

You have control over the messages you receive. You can opt-out of receiving text messages at any time:

  • To stop all future text messages (including notifications and OTPs): Reply 'STOP' to any message you receive from us. Upon receiving a 'STOP' message, we will send you a single confirmation message that you have been unsubscribed, and no further messages will be sent to that number unless you explicitly re-initiate the service on our login page or through another clear opt-in method.
  • Other Opt-Out Keywords: We also recognize keywords such as 'CANCEL', 'QUIT', 'UNSUBSCRIBE', or 'END' as valid opt-out requests.
  • For Assistance: If you need assistance or wish to opt-out via other means, please contact our support at hello@tenadoc.com or +251943238888.

4. Data Sharing and Disclosure (General)

We do not share or sell your personally identifiable information with or to other organizations for commercial purposes, except under the following circumstances:

  • At Your Request: To provide products or services you have requested, when we have your explicit permission.
  • Legal Compliance: It is necessary to share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of our Terms of Service, or as otherwise required by law (e.g., to comply with subpoenas or court orders).
  • Business Transfers: If Tenadoc is acquired by or merged with another company, we may transfer information about you to the acquiring or merged entity. In this event, Tenadoc will notify you before information about you is transferred and becomes subject to a different privacy policy.

  • Third-Party Vendors: Tenadoc uses third-party vendors and hosting partners to provide the necessary hardware, software, networking, storage, and related technology required to run Tenadoc. These partners are selected for their commitment to data security.
  • Data Ownership: Although Tenadoc owns the code, databases, and all rights to the Tenadoc application, you retain all rights to your data.
  • Data Retention: We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, comply with legal obligations (such as audit trails for consent), and resolve disputes.

7. Changes to This Privacy Policy

Tenadoc may periodically update this policy to reflect changes in our practices or applicable laws. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address specified in your Tenadoc primary account holder account or by placing a prominent notice on our site.
